Job Introduction

We are recruiting a Community Coordinator to join our Rapport team, based in one of our client's offices in London West End. Our client is a global leading property management company.

This is an active role, which includes managing the community desk, welcoming customers, responding to customer needs throughout the building and events coordination.

This is a full-time, permanent role (40 hours per week), working on a shift rota basis from Monday to Friday between 8 AM and 6 PM, with flexibility for evening events (as per business needs).

Main responsibilities

  • Welcoming customers and providing an excellent welcome experience
  • Coordinating events and ensuring they are smoothly delivered
  • Assisting visitors with check-in, and ensuring they are looked after until their host arrives
  • Overseeing all meeting room and event bookings, ensuring each space is setup to customer requirements
  • Managing all emails and telephone enquiries in a polite and timely manner
  • Handling incoming mail and parcels
  • Issuing keys and access cards, as well as other administrative tasks, including internal documents and external communications
  • Ordering stationary and consumables as required
  • Ongoing development of systems and processes
  • Conducting daily/weekly building walks to ensure the building is well-presented and safely maintained 
  • Supporting with customer engagement activities and diary management
  • Troubleshooting IT and Facilities issues with the support of the relevant helpdesk
  • Building relationships with customers and ensuring all chargeable and bookable services are correctly managed and accounted for, escalating queries to the General Manager as required

The ideal candidate will

  • Ideally, have at least one year of customer-facing experience in a similar role within a luxury hotel, premium airline, or corporate environment
  • Have a positive, outgoing personality and be able to easily build rapport with key stakeholders
  • Be proactive, flexible, and adaptable, with great attention to detail and ambition to learn and grow
  • Display excellent personal presentation and interpersonal skills
  • Be computer literate, with excellent communication skills, verbal and written, with a professional telephone and email etiquette
  • Demonstrate the ability to work independently and manage own workload
